Accessing student learning systems

We recommend you use the Monash International VPN if you’re wanting to access Monash University applications and services from within mainland China. If you’re outside of mainland China, use the Monash VPN.

Before connecting

Before connecting using the Monash International VPN, first make sure you’re not connected to any other VPN. You can use only one VPN at a time.

1. Log into GlobalProtectusing your Monash email address and password.
   
   

   

2. You'll need to authenticate your login:
   • if using Okta Verify, clickSend Pushand then approve the sign in on your mobile phone.
   • if using Google Authenticator, enter your authentication passcode, then clickVerify.
3. Select the appropriate GlobalProtect installer based on the operating system you're using.
   
4. ClickKeepif you see a message that the file you're downloading may be harmful to your computer.
   Once the file has downloaded, double-click it to launch the installer.
5. Follow the instructions in theSetup Wizard.


When the installation finishes, the application will launch.

6. Type "vpn.monashuniversity.cn" into the text box, then clickConnect.


You'll only need to do this for this session. When you connect in future, follow the steps inConnect to the Monash International VPN service.

7. Sign in using your Monash email address and password.



8. You'll need to authenticate you login:
   • if using Okta Verify, clickSend Pushand then approve the sign in on your mobile phone.
   • if using Google Authenticator, enter your authentication passcode, then selectVerify.
9. When you've successfully connected, you'll see theConnectedwindow.


When you've finished using the VPN, clickDisconnect.

10. Once the installation is complete, you'll findGlobalProtectin your applications menu.

Connect to the Monash International VPN service

1. Find and launch the GlobalProtect application.



2. ClickConnect.



3. Sign in using your Monash email address and password.
   
   

   

4. You'll need to authenticate your login:
   • if using Okta Verify, clickSend Pushand then approve the sign in on your mobile phone.
   • if using Google Authenticator, enter your authentication passcode, then selectVerify.
5. When you've successfully connected, you'll see theConnectedwindow.


Now you're connected, continue to use your computer as usual.

When you've finished using the VPN, clickDisconnect.

Connect to the Monash VPN service

Moodle is Monash's online learning management system and contains all your curriculum details, activities and quizzes.

Sign into Moodle

1. Log into Moodleusing your Monash account.
2. You'll need to authenticate your login:
   • if using Okta Verify, clickSend Pushand then approve the sign in on your mobile phone.
   • if using Google Authenticator, enter your authentication passcode, then clickVerify.
3. On the Moodle home page, click theXbutton to close the copyright message (at the bottom of the page).

Using Moodle on a mobile device

While you can use Moodle on your smartphone or mobile device, it’s better to access it on a desktop/laptop computer. You’ll need to connect to the internet using a web browser (preferably Chrome or Firefox).

The Moodle app on the Apple and Google Play stores isnotcompatiblewith the system we’re using at Monash.

When will my units appear in Moodle?

Before the start of semester

You'll be able to log into most unit modules in the week before the start of semester.

To view all available units, try selectingAll My Units. Next semester's units may not show in the default view.

If you're still having trouble, contact your Unit Coordinator, as they set the date for student access.

After the start of semester

All unit modules should be available no later than 5pm on the first day of the teaching period.

If your unit isn't visible at this time, please contact theeSolutions Service Deskto check your unit has a site and to get access.

If you change your enrolment, allow up to 24 hours for the new unit to appear in Moodle.

Panopto is the University's system for storing and providing access to non-lecture recordings created by academics for students. You don’t have to sign into Panopto to watch a video.

1. Log into Moodlewith your Monash account.
2. Find and open the unit your lecturer or tutor asked you to access.
3. If the unit has a Panopto video, select it to play it.
4. You may also see a Panopto widget that lists all the videos for the unit.

Echo360 allows you to access and download lecture video recordings, which are pre-recorded or live streamed.

Accessing lectures in Echo360

1. Log into Moodlewith your Monash account.
2. Select the Moodle unit you want to access.
3. ClickLecture Recordings.
4. From the list of recordings, select the lecture recording you want to view.
   The names of these will differ depending on what your lecturer has chosen.
5. You'll be taken to the player where you can view the lecture recording.

Downloading lectures

1. Log into Moodlewith your Monash account.
2. Select the Moodle unit you want to access.
3. ClickLecture Recordings.

4. Click the greenPlayicon next to the lecture recording you want to download.
5. ClickDownload originalfrom the drop-down menu.
   The lecture will begin to download.
6. Select the download quality you want, then selectDownloadto begin.

MoVE (Monash Virtual Environment) allows students to access the specialised software and applications they need. If you're accessing MoVE from a public computer, we recommend you use MoVE Light so you can access the system through a web browser.

Sign into MoVE on your computer

1. Access MoVE:
   1. From China: If you’re accessing MoVE from mainland China, you'll need to connect to Monash first by using theMonash International VPN.
      Once an International VPN connection has been established,go to MoVE (mainland China).
   2. From all other regions:Go to MoVE (all other regions).
   Sign in using your Monash email address and password.
   
   Click Sign In.
2. You'll need to authenticate your login:
   • If you use Okta Verify, clickSend Pushand then approve the sign in on your mobile phone.
   • If you use Google Authenticator, enter your authentication passcode, then clickVerify.
3. Once you've logged into MoVE, you'll see theWelcomescreen.
   
   ClickDetect Receiver. The detection will take a few seconds to complete – don't click the button again.
   
   If the Receiver isn't detected after a few seconds, select theI agree with the Citrix license agreementtick box and clickDownloadand install the Receiver manually.
4. Once the Receiver has been detected successfully, the MoVE home page will launch, providing you with access to applications.
   
   Click an application icon to launch the application.

Sign into MoVE Light on a public computer

1. Access MoVE:
   1. From China: If you’re accessing MoVE from mainland China, you'll need to connect to Monash first by using theMonash International VPN.
      Once an International VPN connection has been established,go to MoVE(China only).
   2. From all other regions:Go to MoVE.
   Sign in using your Monash email address and password.
   
   Click Sign In.
2. You'll need to authenticate your login:
   • If you use Okta Verify, clickSend Pushand then approve the sign in on your mobile phone.
   • If you use Google Authenticator, enter your authentication passcode, then clickVerify.
3. Once you've logged into MoVE, you'll see theWelcomescreen.
   
   ClickUse light version.
4. The MoVE home page will display a shortlist of applications that you can access. Double-click the applications to launch them.
5. For a complete list of available apps, clickAppson the menu at the top.

Sign into the Library search

1. Log into the Library Searchby selectingMonash Staff & Students Loginand using your Monash email address and password.

Allocate+ is the tool for creating and managing your own personal timetable.

Sign into Allocate+

1. Log into Allocate+.
2. You'll need to authenticate your login:
   • if using Okta Verify, clickSend Pushand then approve the sign in on your mobile phone.
   • if using Google Authenticator, enter your authentication passcode, then clickVerify.
3. On the menu at the top of your screen, clickTimetable.
4. You'll now see your Allocate+ timetable.

You can use Zoom to attend video or audio meetings (on a computer or mobile device) that have been scheduled by your lecturer or tutor, as well as individual calls. We recommend you install Zoom on your computer.

Install Zoom on your laptop or desktop

1. Go to theZoom download page. The download will start automatically.
2. ClickKeepif you see a message that the file you're downloading may be harmful to your computer.
   Once the file has downloaded, select it to launch the installer.
3. Once the application is installed, the sign-in window will appear.

Sign into Zoom

1. Launch the Zoom application and clickSign In.
2. ClickSign in with SSO.
3. Typemonash.zoom.usand clickContinue.

   • if using Okta Verify, clickSend Pushand then approve the sign in on your mobile phone.

6. Your internet browser will open and theOpen Zoom?prompt will appear > ClickOpen Zoom.
7. The Zoom application will launch and you'll be signed in.
8. When joining a meeting, make sure you clickJoin with Computer Audio.

Your lecturer or tutor (may use FLUX during lessons to gather student responses to specific questions. You don't need to create an account for FLUX, but you'll need to sign in using Okta Verify or Google Authenticator.

Sign in and join poll

1. On your phone, tablet or laptop,log into FLUXusing your Monash student email address.
2. Sign in using your Monash email address and password > ClickSign In.
3. You'll need to authenticate your login:
   • if using Okta Verify, clickSend Pushand then approve the sign in on your mobile phone.
   • if using Google Authenticator, enter your authentication passcode, then clickVerify.
4. Click either the (+) icon at the top right of the page, or clickJOIN AN AUDIENCE.
5. Type the audience code your lecturer or tutor provided, then clickJOIN.
6. Once a presentation with a poll is active, click it to join.

EQUELLA stores and manages digital content such as documents, images and other forms of multimedia. At Monash University, this system is only used by the Faculty of Medicine, Nursing and Health Services.

Sign into EQUELLA

1. Log into EQUELLAusing your Monash email address and password.
2. You'll need to authenticate your login:
   • if using Okta Verify, clickSend Pushand then approve the sign in on your mobile phone.
   • if using Google Authenticator, enter your authentication passcode, then clickVerify.
3. You'll now see the EQUELLA home page.

Your lecturer or tutor may use Poll Everywhere during lessons to gather students responded to specific questions. Some polls require you to sign in before participating. To sign in and join a poll, first you need to create an account.

Create an account

1. On your phone, tablet or laptop, go toPoll Everywhere.
   
   To create an account, select theLog inbutton in the top left corner.
2. Type your Monash student email address and clickNext.
3. ClickLog in with Monash.
4. Sign in using your Monash email address and password > ClickSign In.
5. You'll need to authenticate your login:
   • if using Okta Verify, clickSend Pushand then approve the sign in on your mobile phone.
   • if using Google Authenticator, enter your authentication passcode, then clickVerify.
6. When prompted, select the checkbox to accept the Poll Everywhere terms and conditions, then clickSign up for my Poll Everywhereaccount.

Sign in and join poll

1. On your phone, tablet or laptop,log into Poll Everywhereusing your Monash student email address and clickNext.
2. ClickLog in with Monash.
3. Sign in using your Monash email address and password > ClickSign In.
4. You'll need to authenticate your login:
   • if using Okta Verity, selectSend Pushand then approve the sign in on your mobile phone.
   • if using Google Authenticator, enter your authentication passcode, then clickVerify.
5. Once you've signed in, join the presentation by typing your lecturer’s or tutor’s username and clickJoin.

Join poll without signing in

Go to the link provided by your lecturer or tutor (it will look something like this: https://PollEv.com/surveys/ExamPLeLInk0221/web).

Go to the URL, then clickStart survey.

You can now answer the poll questions.

How to get access

Use your Monash account tolog into InPlace, there’s also a link on theMy Course tile in my.monash.

When to get access

You should access InPlace:

• at the beginning of the placement process if your faculty asks you to provide some information in the system. For example: Transport mode, as this will help them determine the location of your placement
• when you receive an email from the Placements Office advising you your placement has been organised. You can then log in and check your placement details.

Uploading documents

Once you're in InPlace, click theMy Details(person) icon in the blue bar at the top of the screen.

1. In theDetailstab, scroll towards the bottom of the page.
2. Go to the heading/s relevant to your course.
3. Click on each field under the relevant headings to fill in the information.

Some fields require you to upload documents. For example: Police checks, Working With Children Checks, Statement of Immunisation Compliance etc.

When you click on those fields, complete any necessary information and then:

1. ClickChoose File/Browse
2. Select your file
3. ClickUpload>Save.

If a document you need to upload has multiple pages, you need to scan all of the pages into the one document. For example: If you have a two-sided form, you need to scan both sides into one pdf and then upload that to InPlace.

Check your placement details

You use InPlace to check your placement details that have been arranged by your faculty.

Your faculty will advise you when your placement has been organised. To check your placement details:

1. Login to theInPlace homepage.
2. Near the top of the screen, locate the tab,Confirmed.
3. On the Confirmed tab, you'll be able to see your agency (employer) name, supervisor, placement dates, placement duration and the status.
4. Click theAgency(employer) link for information on your placement.

If you have any questions about your placement, contact your Faculty Placements Office directly. You can't contact them through InPlace.

If you have incorrect information

If you find that some of your details are incorrect in the InPlace system, you can update them inWES (Web Enrolment System).

You can update your:

• contact details
• address
• enrolment information
• placement address.

Once you have made the changes in WES, InPlace will update within 24 hours.

Please ensure you contact your Faculty Placements Office to advise them of any changes.
